Before starting your import for the first time, review the WIDA Student Import File Layout for 2025-2026 PDF. This details the required layout of the CSV file you will import to WIDA AMS, including rules, instructions, and examples describing how to create and format the CSV file.

Notes:
In order to select the Import Management option in WIDA AMS, you must have the “Import Management” permission, which is included in the default permission set for District users.
Pre-ID labels only apply to the ACCESS Administration. All instructions with mentions of Pre-ID are only applicable to the ACCESS Administration.
DRC will automatically create registrations for any students added via Student Import in Import Management who are testing online. Students will be placed in registrations by grade and domain.
For WIDA Screener Online, students will automatically be placed into registrations based on grade.
Any imported files that receive an error will result in no new student records being uploaded until you have completed a successful import of the corrected file. For more information about resolving errors, see the Import Management Error Guide.
Once you have prepared your CSV files, follow these steps to import a Students and Registrations file:
Select Import Management from the WIDA AMS My Applications Menu.
Select Select a Site ... and enter the name or code of the school or district to which you want to import.
On the Import Management page, click the Start New Import button and the New Import window displays.
Complete the fields as follows:
Import Job Title: Enter a recognizable name that will help you identify the import. Example: Sample School ACCESS Students 20XX.
Select Import Type: Select Students and Registrations.
Registration Window: Select your Registration window (WIDA Screener or WIDA ACCESS).
Click Browse to navigate to the files on your system, or you can drag and drop the files into the drag and drop area of the window.
Click the Start Import button to import the files into Import Management. The import job is displayed in the Import Management grid. While the job is being processed, the status for the job is In Progress.
When the import job is completed, the job status will either show COMPLETED (success on all records) or VALIDATION ERRORS (one or more student records failed import and registration).
If the job is in VALIDATION ERRORS status, click the job to display the error report. Update your CSV file to fix all of the errors shown in the error report.
Once you have corrected the errors in the CSV file, restart the import process (return to Step 2).
If the job is in COMPLETED status, you may move on to Student Management or Test Management to view the imported students or registrations. If you wish to see the details of your completed import, click the job to display the Details report, which includes information about each imported roster.

If you find that you imported incorrect demographic or accommodation information for a student, you can take the following actions to correct it. Blank values that are imported into the student record for demographics and accommodations will not override previously entered values. These incorrect values can be removed individually, student-by-student, within Student Management. For more information on how to update a student's information, go to Searching for and Editing a Student.
If you have to correct multiple values for multiple students, you can also use an updated import file replacing any of the incorrect values with a hyphen (-). For accommodations specifically, add the hyphen before the accommodation code and between
the pipe delimiters. For example: |-MC|-RA|-ES|.
