Import Management offers comprehensive error reporting to aid in the successful import of all file imports. This guide is designed to aid in the navigation of the error reporting system, allowing for swift correction of validation errors.

Once you have imported your file, you may see a red Validation Errors banner appear in the status column of the import. This means that there is something within your file that requires correction. Any imported files that receive an error will result in no student records being uploaded until you have completed a successful import of the corrected file.
Note: Modifying the 'State', 'District Code', 'School Code', 'First Name', 'Last Name', 'SSID', or 'Grade' fields on successfully imported student records will result in the creation of duplicate records and should be avoided.
Click anywhere on the import line to be taken to the Import Details page. Here you will see three tabs: Resource Summary, Error Summary, and Error Detail.
There are also additional buttons at the top: Download Error Report and Download Original Import.
Download Error Report: Generates a CSV file containing each of the errors encountered in the error report.
Download Original Import: Downloads the original import file. You can download the original, make corrections, and start a new import to resolve the issue.
When you enter the Import Details, the Resource Summary tab displays. From here, you can see an overview of the results of the student import.
Resource: Registration or Student.
Registration: Refers to the number of students in this import who are added to one or more registrations. If Screener, a student is added to one registration, if ACCESS, they’re added to three or four, depending on the grade-level cluster.
Student: Refers to how many student records were in the file for import.
Note: If you have students testing on paper in your file, the total number of registrations will be less than the total number of students.
Total Records: The total number of students and registrations contained in the original import.
Passed: Represents the number of students successfully imported from the file and registered for assessments in one or more registrations created by the import process
Failed: Represents the number of students that could not be imported successfully or registered for assessments due to errors in the import file.
Unique Errors: Provides the number of different types of errors encountered in the file for that resource.
Total Errors: The total number of errors in the file.
Resource: Student or Registration, indicating which component of the import failed.
Category: Indicates which inspection failed during the import process. For example, Invalid Value indicates that the value entered does not meet the requirements in the Student Import File Layout for that field.
Error: The specific error encountered in the import of that resource. There may be multiple listed here for both resources.
Count: How many times was that error found within the import.
This tab provides the same Resource and Category values as the Summary Tab but also includes the Sequence and the Source. This is helpful for locating the error within your import file.
Sequence: The row in the file that encountered this error.
Note: Sequence #1 corresponds to the header row, and Sequence #2 corresponds to the first row of student data.
Source: The line of comma delimited values from the record that failed.
The Import Progress tab provides the progress and status of the validation steps initiated throughout the import process. Once the step is successful, the status will be updated to Completed. The import will be fully processed once all the steps have received a Completed status.
Even if the import receives a Completed status on all steps, the import may still have errors. Review the Resource Summary tab to ensure the import did not receive any errors that need to be rectified
Once you have identified the errors that require correction, you can either edit your original import file or download the original import file from the Import Details page.
See table below for a list of possible validation errors. The explanation column will give direction on how to properly enter values for the field that encountered the error. For further guidance on acceptable values and formatting, refer to the applicable file layout, WIDA Student Import File Layout for 2025-2026 or WIDA Registration Import File Layout for 2025 – 2026.
Once you have made your corrections, save the file as a CSV and begin a new import. Your previous import history will still remain in the list.
Note: Make sure you retain any leading zeros in your file before re-importing.
